Business Associate / Registrar

Westminster Schools of Augusta is seeking a Business Associate / Registrar for the 2024-2025 school year. This person will assume a strategic role in the management of all the aspects of the student billing. The registrar serves as the official record keeper of the student files. The twelve-month position reports to the Director of Finance.

Westminster Schools of Augusta was founded in 1972 as a ministry of First Presbyterian Church. As a private, Christian, college-preparatory school located in Augusta, Georgia, Westminster serves 500 students in grades pre-kindergarten through 12. The school is divided into three divisions, lower school (pre K-5), middle school (6-8), and upper school (9-12). Job Requirements - Essential Functions

Student Billing

  • Responsible for accurate and timely tuition billing and other fees; including applying financial aid and scholarship awards to the student accounts during the enrollment process.
  • Track international students' enrollment separately.
  • Coordinate ancillary billing.
  • Work with the Director of Finance to ensure student accounts and tuition liability accounts are regularly reconciled.
  • Be available when needed to assist parents in understanding all aspects of billing statements.
  • Communicate with parents regarding outstanding balances and account status, keeping the Director of Finance informed of current and potential collection issues.  
  • Track and process all tuition insurance claims for withdrawn/dismissed students.

Registrar

  • Maintain school-wide protocol for student records.
  • Organize and administer the records and registration functions of the school, to provide maximum service to maximum service to parents while ensuring efficient and effective workflow.
  • Ensure that critical electronic student information is up-to-date and accurate, notifying in-house personnel and auxiliary groups of critical data changes.
  • Mail former student records and transcripts upon request, complying with Business Office policy. 
  • Maintain the current process of electronically archiving student records.
  • Manage the enrollment procedure and ensure timely communication regarding re-enrollment to families within the school community.
  • Track enrollment process.
  • Monthly reporting to county Boards of Education.
  • Maintain reporting for Georgia Special Needs Scholarship.
  • Maintain information for French Exchange Students 
  • Maintain staff information in the database.

Academic Support Programs

  • Coordinate billing for Academic Support
  • Prepare documentation needed to pay substitutes and coaches.
